This Privacy Policy explains how Ben Haldon Limited (“Hybrid Body Plan”, “we”, “us”, “our”) collects, uses, and protects your personal information when you interact with us — including through our website, social media, advertising, and coaching services. We are the data controller responsible for your personal data. Questions: benji@hybridbodyplan.com.

Who we are. Ben Haldon Limited trading as Hybrid Body Plan, an online fitness coaching business.

What we collect. Contact details (name, email, phone); enquiry information you provide on forms (including Facebook/Instagram lead forms), such as your fitness goals, commitment level, budget indication, and challenges; coaching information if you become a client (training history, lifestyle, dietary preferences, measurements, progress data you share); and technical/usage data via cookies.

How we collect it. Directly from you; through advertising platforms such as Meta when you submit a lead form; and automatically via cookies and analytics when you use our website.

How we use it. To respond to your enquiry and follow up with you; to provide and personalise coaching if you become a client; to communicate about your coaching; to improve our website, services and advertising; and to meet legal obligations.

Lawful basis (UK GDPR). Consent for optional marketing; steps at your request before a contract and contract performance for relevant enquiries and coaching; legitimate interests for providing a requested quiz result, proportionate business administration, security and service improvement; and legal obligations where applicable. Submitting a form does not by itself mean you have agreed to marketing.

Who we share it with. We do not sell your data. We share it with trusted providers who help run our business — CRM/funnel tools, our coaching delivery platform, payment processors, and advertising/analytics providers including Meta — who process it on our behalf and keep it secure.

Hybrid Build quiz and results. We use ScoreApp to collect your name, email address and quiz answers and provide your result. The answers describe your goals and current training. Scoring rules suggest a starting priority: Fat Loss, Size & Strength or Engine. This is a general training suggestion, not a medical assessment or a decision about whether you can receive coaching. Rebuilding or unsure answers may produce a provisional suggestion. You can contact us to discuss or correct your result. Please do not include detailed medical information in this marketing quiz.

Quiz emails and your choices. You can view your result without agreeing to marketing. Where you separately opt in, we use AWeber to send advice based on your result and a short follow-up sequence, including information about coaching. We record your consent choice, result category and related quiz fields so we can select the relevant emails. You can unsubscribe through the link in a marketing email or contact us. An enquiry or coaching application may require a personal response even if you do not opt in to marketing.

Replies and applications. We compare quiz email records with our enquiry records and inbound email replies so that an existing enquiry, application or reply can move to personal follow-up instead of continuing the quiz sequence. These checks are periodic, so an email already queued may still arrive. Stopping this sequence does not itself unsubscribe you from other emails you have agreed to receive.

Quiz providers and international processing. ScoreApp provides the quiz and results service; AWeber provides the email service. Their privacy information is available at ScoreApp privacy policy and AWeber privacy policy. AWeber processes information in the United States and describes its participation in the EU-US Data Privacy Framework and UK Extension and its contractual transfer safeguards. ScoreApp uses service providers in the EU and, for some services, the United States. Our coaching and administration may also involve access from Australia. Contact us if you would like information about the safeguards applicable to your information.

How long we keep it. Only as long as necessary for the purposes above or as required by law. Enquiries that don’t become clients are kept for a reasonable follow-up period, then deleted or anonymised on request.

Your rights. Under UK GDPR you can access, correct, delete or restrict your data, object to processing, request portability, and withdraw consent at any time. You can also complain to the ICO (ico.org.uk). To exercise these rights, email benji@hybridbodyplan.com.

Cookies. Our website uses cookies and similar technologies to function, understand usage, and measure and improve advertising. Use “Manage consent” on our website to accept, decline or withdraw optional cookie permission. You can also control cookies through your browser. Marketing-cookie permission and permission to receive marketing emails are separate choices.

Quiz advertising measurement. If you allow marketing cookies, our embedded quiz page uses the Meta Pixel to measure page visits, quiz starts and completed submissions. This helps us understand which adverts lead people to take the quiz. This tracking uses technical information such as IP address, browser/device information and advertising-cookie identifiers. Our quiz tracking does not send your answers, result category, name or email address to Meta. Declining marketing cookies does not stop you taking the quiz or receiving your requested result.

Ad source and client records. When you submit the quiz, we may record the advert or campaign identifier supplied in the link alongside your email address in ScoreApp and AWeber. We match that email address to an enquiry or client record in HBP Coach so we can see which adverts are associated with applications and clients, including when someone returns later through an email. We use this for proportionate internal advertising measurement. This source record does not opt you into marketing, and this matching does not send your payment details, quiz answers or client record to Meta. If you use different email addresses, the records may not match. Contact us to ask about, correct or object to this use.

Changes. We may update this policy; changes will be posted here with a revised date.
